How to Write a Resignation Letter (With 3 Templates)

A resignation letter is a short, formal record that you're leaving and when. Keep it brief and polite: it goes into your file, and you may want a reference from these people later.

What to include

  • The date
  • A clear statement that you're resigning, and your position
  • Your last working day
  • A short thank-you
  • An offer to help with the handover (optional, but appreciated)
  • Your name and signature

How much notice

In the US, two weeks is the usual courtesy for most jobs. Check your contract or employee handbook: some roles, especially senior ones, ask for more. If you can, give the notice your employer asks for; it helps your references.

How to deliver it

  1. Tell your manager first, in person or on a call, before anyone else hears.
  2. Send the letter right after, by email or on paper, so there's a written record.
  3. Keep a copy for yourself.

What to leave out

  • Complaints about the job, your manager or coworkers
  • Detailed reasons for leaving: "I've accepted another position" is enough, or nothing at all
  • Negotiation: if you're open to a counteroffer, have that conversation before you write the letter
